v1 Atlas/Inventory
How stock enters (deals)
Purchase deals, and the three ways laptops and parts arrive.
In v1 stock is received against a purchase deal. This is the single most important idea in the inventory side.
The flow#
- Create a purchase invoice for a vendor (Purchases). It is made of category lines with a quantity and amount, e.g. Laptop × 10, RAM × 20. The invoice gets a deal code such as
V0103(vendor code + next number). - Receive stock against the deal.
- Laptops: Products → Warehouse → + (see Adding laptops). Pick the deal; only deals with remaining quantity for the laptop's category are offered. Each laptop added counts one against the deal.
- Parts: Inventory → Add on a part (Parts, devices & accessories). Pick the deal and the quantity is split across outlets.
- Receive over the counter instead with a Buy-In — no vendor and no deal.
New stock lands in the Warehouse outlet. From there you move it to branches.
NOTE
A purchase's remaining quantity per category is what is left to receive: quantity bought minus quantity added. Deleting a laptop gives one unit back to its deal.
Why deals matter#
- Product IDs are built from the deal code (e.g.
V0103-007), so a barcode tells you which purchase a machine came from. - The Deal Report and Deal Portfolio report cost, sales and what is left per deal.
- Returns and debit notes to a vendor are made against the purchase invoice.
Stock levels#
| Product | How quantity is tracked |
|---|---|
| Laptop | One record per machine, sitting in one outlet, with a status |
| Parts, devices, accessories | A total quantity plus a quantity per outlet |
Quantity changes are atomic: two people moving the same stock at once cannot drive a quantity negative.
